Administrative Policy for Access Communication

Scope: This policy applies to all patients calling the practice both during office and non-office hours. This policy also addresses triaging of calls and messages, as well as scheduling patients with their primary care provider

Purpose: To ensure appropriate care and decision support administration to all patients calling the practice in a timely manner.

Office hours & physician availability

In general, the office hours for our Pediatrics 2000 III PLLC medical practice are Monday-Friday from 9:30 am to 6:00 pm and Saturday from 9:30 am to 4:00 pm. However, specific appointment availability varies by individual physician.

Dr Torres daytime office hours are Monday-Friday from 9:30 am to 6:00 pm.

Dr Aponte daytime office hours are Monday-Friday from 9:30 am to 6:00 pm and Saturdays from 9:30 am to 4:00 pm

Dr Nina Ortega daytime office hours are Monday-Thursday from 9:30 am to 6:00 pm and Saturdays from 9:30 am to 4:00 pm.

Dr De Oleo daytime office hours are Monday, Tuesday, Thursday and Friday from 9:30 am to 6:00 pm and Saturdays from 9:30 am to 4:00 pm

Please note that although doctors are present Monday-Friday from 9:30 am to 6:00 pm and Saturdays from 9:30 am to 4:00 pm, we receive patients during the business days until 4:00 pm and Saturdays until 2:00 pm.

The office will be closed during the following days: Sundays, the 4th of July (Independence day), Thanksgiving day, Christmas day and New Year’s day and when special arrangements have been made in which case an announcement will be posted in the front and outside doors at least 24 hrs before.

During office hours and when the office is open, non-clinical personnel when possible will answer phone calls. After business hours the automated system will answer and a recorded voice will give the caller a choice to leave a message or to communicate with the Dr on call. Staff voicemail and calls are checked and answered in 24 hrs. Please remember that this service is for non-urgent communications only and that a doctor cannot make a 100 % precise diagnosis without a physical exam.
